Turn a voice note into Apple Reminders and Calendar events

A thought about dinner can include both an appointment and something you need to do beforehand. Keeping those as separate results makes each one easier to find when it matters.

Choose a task, an event, or both

A reminder represents something you need to do. A calendar event represents a meeting, delivery, deadline, or other dated fact. Something expected on a day without a time belongs on the calendar as an all-day event.

For a single straightforward reminder, entering it directly in Apple Reminders or asking Siri may be enough. Second Brain is useful when one capture contains several intentions and you want to review the separate results.

Make each intention explicit

Dinner with Anna on September 12 at 7 pm. Remind me to buy flowers on September 12 at 4 pm.

Giving both parts a date avoids an ambiguous phrase such as “buy flowers before that.” Voice transcription and AI interpretation can make mistakes, so the receipt is part of the workflow.

Capture, inspect, then open the destination

  1. Open Capture. Type the thought or record your voice. Before processing, read the transcript and correct names or times if necessary.
  2. Check AI access and permissions. Automatic organization needs AI access and permission to process the selected context. Allow access to Reminders and Calendar when you want results written there.
  3. Read each result. The receipt shows separate actions and anything that needs attention. Confirm a pending event when prompted; do not assume a prepared event has already been saved.
  4. Open Reminders and Calendar. Check that the task and appointment are in the expected place. Retry a failed action from its result instead of submitting the entire thought again.

When you are waiting on someone else

Maya will send the final numbers on September 14. Remind me to check for them on September 15 at 9 am.

The expected delivery is an all-day Calendar event. Your follow-up is a timed Reminder. They are different commitments, so keep both visible rather than treating the expected delivery as a task for you.

If the first capture stops

Check whether the obstacle is AI access, an unapproved permission, transcription, or a pending confirmation. If you choose Use Without AI, local tools remain available, but that choice does not provide automatic AI organization. You do not need to buy a subscription just to send feedback about where you got stuck.
